Who is responsible for your information
The Reality Group is a team of real estate agents at eXp Realty, Brokerage. We run therealitygroup.ca, and we are responsible for the personal information we collect through it, including information that companies running parts of the site handle on our behalf.
Privacy questions, requests and complaints go to our Founder, Megan Stagg, at info@therealitygroup.ca, 613-704-6145, or 75D Colonnade Road North, Nepean, ON K2E 0A8.
We follow Canada’s federal private-sector privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
Our forms
Each form on the site asks only for what that enquiry needs:
- Contact: Your first and last name, your mobile phone number and email, how we can help, and any photos you choose to add.
- Book a consultation: Your name, email and phone number, the best time to call, whether you are buying or selling, whether you are a first-time buyer, and your message.
- Home evaluation: The address of the property first, then your name, email and phone number.
- Buyer’s and seller’s guides: Your name, email and phone number.
- Showings, questions and concierge services: Your name, email and phone number, the area or listing you are interested in, your timing and your message.
- Residential and commercial leasing: Your name, email and phone number, whether you are looking for space or leasing out your own, the area, your timing and your message.
- Commercial, investor and developer enquiries: Your name, email and phone number, what you are interested in, the area, your message, and the choice you made on the page.
- Join Us: Your name, email and phone number, the path and the market or role you chose, where you are based, where you are in your career, your current brokerage if you have one, and your message. A City Partner enquiry also asks for the city you have in mind.
- Partner With Us: Your name, email and phone number, your business, the kind of partnership, your website or Instagram, and your idea.
- RStudio bookings: Your name, email and phone number, the space, what it is for, your preferred date and your message.
- A message to one of our agents: Your name, email and phone number, whether you are buying, selling, investing or leasing, and your message.
With every form
Every form asks how you would like us to reply, by email or by text message. If you choose text, it asks for your mobile number and your consent to text you about your enquiry.
With every form, we also record the page you sent it from (including any campaign tags in its web address), the date and time, and each consent box you answered, with the exact wording it showed you. Our contact form also records the website that referred you to us, if there was one.
Chat and booking
The chat button on each page opens an AI assistant, not a person. If you use it, we receive the messages you type and any contact details you choose to give. If you book a time with us, we receive the details the booking form asks for, such as your name, email, phone number and the time you choose.
Calls, emails and website use
When you call or email us, we keep what you tell us and our replies. Google Analytics records how the site is used: the pages you view, how you reached the site, your device and browser, and your approximate location. We do not send Google Analytics your name, email, phone number or message.
We do not ask for payment card or banking details on this site.
Why we use it
- To reply to you about what you asked, by email or text message as you chose, and to book a call, a meeting or a showing.
- To prepare a comparative market analysis when you ask what your home is worth.
- To consider your application when you apply through Join Us.
- To explore a partnership when you write to us as a business or brand.
- To send you listings, market updates and news, only if you tick the marketing consent box.
- To improve the site, from what Google Analytics shows us.
- We do not sell or rent personal information.
Marketing emails, texts and your consent
The marketing consent box on our forms is separate from the rest of the form, it is never ticked for you, and you can send an enquiry without ticking it. When you tick it, we keep a record of that: the box’s state, the exact wording you saw, the date and time, and the page you sent it from.
If you do not tick it, we still reply about your enquiry. Canada’s anti-spam law (CASL) allows us to contact you about it for six months after you send it.
If you ask us to reply by text message, the form asks for your consent to receive texts from us about your enquiry at the number you give. Message frequency varies, and message and data rates may apply. Reply HELP for help or STOP to stop our texts. Agreeing to texts is not a condition of buying anything from us.
You can withdraw your consent at any time: use the unsubscribe link in any of our emails, reply STOP to any of our texts, or email info@therealitygroup.ca. We act on it within 10 business days, as CASL requires.
The Velogics app and its AI follow-up
Velogics built this website and runs our enquiry system, the contact form, the chat assistant and online booking for us. When you send a form, your details and any photos you add go into our account in the Velogics app, which keeps the record of your enquiry for our team.
The app’s AI reads your enquiry and writes the first follow-up to you, by email or by text message as you chose, to understand what you are looking for and help you book a time with one of our agents. Our team then takes it from there.
Velogics handles your information only to provide these services to us. To run them it uses Anthropic (the AI), Postmark (email), Twilio (text messages), Vercel (hosting) and Neon (the app’s database).
Information stored outside Canada
Some of these companies store or process information outside Canada, including in the United States. While it is there, it may be accessed by the courts, law enforcement and national security authorities of that country. We remain responsible for it while it is with them.
How long we keep it
We keep an enquiry as long as we need it to reply and follow up. If you become a client, we keep the records of your purchase, sale or lease as long as the work and our legal obligations require. After that we delete or anonymize them.
How we protect it
On our team, only the people who need your information to serve you can see it. The site and its forms use an encrypted (HTTPS) connection, and each company above protects what it holds with its own security measures.
Seeing, correcting or deleting your information
You can ask to see the personal information we hold about you, to correct it or to delete it, and you can withdraw your consent at any time. Email info@therealitygroup.ca or write to us at 75D Colonnade Road North, Nepean, ON K2E 0A8.
PIPEDA requires us to answer an access request within 30 days, unless the law allows an extension. If withdrawing your consent means we can no longer help with your enquiry or your move, we will tell you.
Questions and complaints
If you have a concern, contact us first and we will try to resolve it. If we cannot, you can take it to the Office of the Privacy Commissioner of Canada.
Changes to this policy
This version of the policy took effect on 2026-10-25. If we change it, for example when our client records move to Follow Up Boss, we will post the new version here with its date.
